JOB TITLE: Provincial Food Distiribution Centre (PFDC) Manager

REPORTS TO: Senior Manager

The PFCD Manager is reponsible for the overall running of a PFCD logistical operations which include all warehouse and logistics execution functions, PFDC risk and food safety management and operational performance optimization and reporting, including food procurement.

WAREHOUSE EXECTION:

  • Manages and guides to warehouse controller on the following aspects

STOCK & LOGISTICS MANAGEMENT

  • Ensure that all inbound routes are executed within given time and cost parameters
  • Warehouse Integrity
  • Ensure that monthly and cyclical stock counts are done monthly and weekly respectively
  • Ensure accurate and up to date records for stock manegement in all relevant systems
  • Follow up on discrepancies and take corrective action
  • Outbound management
  • Ensure that all aspects of this function is managed
  • Initiate optimization improvement initiative

STAFF MANAGEMENT

  • Informs team of required performance standards and measures accordingly
  • Explains plan to be executed for the day providing all key information required to perform tasks
  • Ensure maximum productivity by ensuring that:
    • Staff is trained
    • A safe and clean working environment is maintained
    • Staff instructions are clear and understood
    • Staff are aware of their responsibilities
  • Provide categories of work to be completed by all staff members of shift
  • Monitors timekeeping and overtime for all staff on shift
  • Facilitates multi-skilling within the team ensuring that there is exposure to all parts of warehouse processes, cultivating interconnectedness and understanding as well as supporting futre succession planning
  • Ensures all staff is equipped with protective clothing (PPE) and that they make use of the items whilst at work.
  • Manages grievances and disciplinary actions according to company disciplinary policy
  • Holds weekly meetings with team to discuss concerns and challenges faced within their role
  • Ensure that staff works together in hormony to chieve a common goal
  • Manage the implemented RACI matrix

DONOR/BENEFICIARY/INTERNAL LIAISON

  • Deals and fields internal and external issues
  • Indentify opportunities
  • Communicate in a professional manner with all levels

MAINTENANCE

  • Ensures that good housekeeping is in place
  • Ensure that health and safety policies are in place and adhered to
  • Ensure that monthly risk meetings are adhered to

SECURITY

  • Ensures that all stocks leaving Warehouse premises, leave with proper documentation
  • Makes sure that all trucks leaving warehouse are sealed and documented onto seal register
  • Ensures that controls are implemented where required to prevent stock losses
  • Evaluate sufficiency of controls and advise senior management in the event of inadequacy

STANDARDS/COMPLIANCE

  • Checks that staff understand and comply with the standards set by PFCD and that general good warehousing practices are adhered to
  • Ensures goods are delivered in line with how they are received making sure there is no damage or discrepancy

COST

  • Report back monthly on relevant cost centre expenditure vs. budget
  • Manage labour cost within budget parameters
  • Assist with budget planning
  • Manage inefficiencies such as overtime usage

JOB COMPETENCIES (Knowledge, Skills and Experience)

  • Matric plus Diploma or degree in SCM/ logistics or degree/ Diploma in any relevant field.
  • Good understanding of logistical roles and functions within a supply chain. Must have knowledge of food distribution in a FMCG or perishable environment
  • A minimum of five years experience is required in a similar capacity and experience in managing a diverse team. Also experience in staff up-skilling
  • Proficiency with Microsoft Windows, Office environment(Word, Excel, Outlook) and standard office equipment and systems
  • Experience in any Stock Control software/system
